Manage Invitation Emails & SMS

A step-by-step guide to creating template messages for reminders, notifications, and invitations via SMS or email.

Accessing Email Templates

1. Log in to the Blink dashboard.

2. Navigate to the event you want to invite attendees to.

3. From the left sidebar of your application, click on Event Config.

4. Under the Event Config tab, go to Email Templates.

Email Templates Page

On the Email Templates page, you will see two communication options:

  • Emails: Send direct messages to attendees with saved email addresses.

  • SMS: Send messages to attendees with saved mobile numbers.


1. Emails

Click on Emails to access ready-made email messages tailored to common scenarios for communicating with your attendees, as follows:

  • Invitation: Email inviting the attendee to RSVP & to begin the event registration.

  • Invitation Reminder: Reminder email if the attendee has not RSVP’d.

  • Registration Reminder: Reminder email if the attendee has yet to begin their event registration.

  • Attendee Registration Error: An alert for applicants to address discrepancies or issues in their submitted data.

  • Download App First Reminder: An initial reminder for participants to download the event's official mobile application.

  • Download App Second Reminder: A subsequent reminder emphasizing the importance of installing the event app.

  • Two Days Before Outbound Flight Reminder: Reminder of a flight scheduled to depart in two days.

  • Upload Flight Details Reminder: A prompt for attendees to upload their flight itinerary for event coordination.

  • Approved Trip Email: A notification for attendees with confirmed travel plans to review their itinerary.

  • Reset Password: Instructions for resetting a forgotten password.

  • Document Upload: A notification email when a document is uploaded to an attendee's dashboard.

  • Companion Registration: A notification regarding the application status of an attendee's companion.

  • Companion Registration Error: An alert for companions to address discrepancies or issues in their submitted data.

  • Two Days Before Return Flight Reminder: Two-day advance notice for an upcoming return flight.

  • Companion Document Upload: A notification email when a document is uploaded to a companion’s dashboard.

  • Activity Addition: Notification of a new activity added to the attendee's itinerary.

  • Activity Change: Update regarding changes to a scheduled activity.

  • Activity Cancellation: Notification of a canceled activity.

  • Send Verification Code Email: Verification code for attendee account creation.

  • Event Cancellation: Notification that an event has been canceled.

  • Event Reactivation: Alert that a previously canceled event is active again.

  • Attendee Registration Confirmation: Confirmation that an attendee's registration is complete

  • Companion Registration Confirmation: Confirmation that a companion's registration is complete.

  • Accommodation Addition: Notification of a new accommodation added to the attendee's itinerary.

  • Accommodation Change: Update regarding changes to a scheduled accommodation.

  • Accommodation Cancellation: Notification of a canceled accommodation.

  • Flight Addition: Notification of a new flight added to the attendee's itinerary.

  • Flight Change: Update regarding changes to a scheduled flight.

  • Flight Cancellation: Notification of a canceled flight.

  • Ride Addition: Notification of a new ride added to the attendee's itinerary.

  • Ride Change: Update regarding changes to a scheduled ride.

  • Ride Cancellation: Notification of a canceled ride.

  • Receive Pass Transfer Request: Email sent to notify the recipient that someone has requested to transfer a pass to them.

  • Send Pass Transfer Request: Email sent to confirm that the pass holder's request to transfer their pass was successfully submitted.

  • Accept Pass Transfer Request: Email sent to notify the sender that the recipient has accepted their pass transfer request.

  • Reject Pass Transfer Request: Email sent to notify the sender that the recipient has rejected their pass transfer request.

  • Assign Pass: Email sent to confirm that a pass has been successfully assigned to another user.

  • Order Invoice: Email sent to confirm that the order was successfully placed and paid for.

  • Return Completed: Email sent to confirm that the customer order return was successfully completed.

  • Reimbursement Completed: Email sent to confirm that the customer order reimbursement was successfully completed.

  • Refund Completed: Email sent to confirm that the customer order refund was successfully completed.

  • Order Placed: Email sent to confirm that the customer order was successfully placed.

  • Payment Reminder: Email sent to confirm that the customer order was successfully placed.

  • Registration Link Email: Email inviting the user leads to register to sign up to events.

  • Order Cancelled: Email sent to confirm that the customer order is cancelled.

  • Overdue Order: Email sent to confirm that the customer order is overdued.

  • To Be Canceled Order: Email sent to confirm that the customer order is about to be cancelled.

  • Staff Download App: Email sent to staff to download the Organizer app.

  • Guest Order Invoice: Email sent to confirm that the order was successfully placed and paid for.

To review or edit the structure of an email, click the Pencil Icon next to the template you wish to edit.

  • The Edit Email page will be displayed and is organized as follows:

    • Left Side: Configuration and editing options.

    • Right Side: Preview of your updates.

Configuration Section:

  • Toggle the button to enable or disable sending this email.

  • From the Email Structure, select the template from the available templates.

    • General Email Template

    • Download App Template

    • User Dashboard Template

    • General With Button Template

  • Email Title (Required): Give your email a specific title for internal reference.

  • Email Subject (Required): Includes the subject of the email that the attendee will see.

  • Email Copy (Required): Use the rich text editor to craft the body of the email.

  • Button Text (Optional): Add a call to action button to your email.

  • Send Test Email: Click on this button to receive a review of how the email will look like when sent to the attendee.

  • Once finished, click Save in the top-right corner.

You will be redirected to the Reminders Page, and a success message will confirm your changes.

Editing Email Templates

To review or edit the structure of an email, click the Email Structures button in the upper-right corner of the page.

The Email Structures page will be displayed with the following templates available:

  • General Email Template

  • Download App Template

  • User Dashboard Template

  • General With Button Template.

Click on Preview button to view the template shape.

Click on Edit button to open the template details page to edit it.

Template Editor Features

  • The editor is divided into two sections:

    • Left Side: Where you edit the template.

    • Right Side: Live preview of your changes.

  • Background: Click the pencil icon in the corner to change the background.

Upload or drag-and-drop a photo from your device. The new background will instantly display on the preview.

  • Email Salutation: Use the rich text editor to customize a salutation.

Alternatively, select from ready-made options by clicking the + icon.

  • Credential Copy: Add credentials using the + icon to select pre-made content, type new text with the rich text editor, or combine both.

  • Support Inquiry Section: Edit the support section using the rich text editor.

  • Footer: Add or remove social media links.

Include the user dashboard link or additional text using the rich text editor.

  • Click on the Save button on the upper right side to save the changes you made.

2. SMS

Click on SMS to access ready-made SMS messages tailored to common scenarios for communicating with your attendees, as follows:

  • Invitation SMS: Event Invitation SMS sent to each attendee, prompting them to submit an application.

  • Approved Trip SMS: A message prompting the attendee to check the Guest Dashboard, to see their newly created trip details.

  • Send Verification Code: Verification code for attendee account creation.

  • Registration Link SMS: Registration Link SMS sent to selected User Leads

To review or edit the structure of the SMS, click the Pencil Icon next to the template you wish to edit.

  • The Edit SMS page will be displayed and is organized as follows:

    • Left Side: Configuration and editing options.

    • Right Side: Preview of your updates.

  • Send SMS: Switching the toggle off will stop Sending SMS.

  • Message Copy (Required): Use the rich text editor to craft the body of the SMS.

Important Notes

SMS have their own pricing criteria for each individual message sent, each message has a character limit of 160, exceeding the limit will send 2 separate messages

  • Once finished, click Save in the top-right corner.
