Set Up Notifications and Reminders

How to schedule and configure automated messages to keep participants informed and engaged through email or SMS reminders.

Blink Management Dashboard is designed to help admins efficiently manage notifications for event attendees.

Accessing the Reminders Tab

  1. Log in to the Blink dashboard.

  2. From the left sidebar, go to Presets.

  3. Under the Presets tab, click on Reminders.

Categories of Notifications

Within the Updates & Reminders tab, you’ll find two main notification categories:

  1. Emails:

    • This category contains all email-based reminders and updates sent to attendees.

    • Each email reminder can be customized for content, timing, and audience.

    • The Count column indicates the number of active email reminders.

  2. SMS:

    • This section holds all SMS-based notifications.

    • SMS reminders can be helpful to for time-sensitive updates or quick notifications.

    • The Count column shows the number of active SMS reminders.

    Navigating and Managing Notifications

    To view detailed information about each notification, click the arrow icon on the right side of either the Emails or SMS row.

    • This action opens a list of all configured reminders within the chosen category, showing each reminder’s content and schedule.

Edit or Update Existing Notifications:

To modify an existing reminder, click on the Pencil icon next to the desired reminder from the list and update the content.

Email Structure and Edit Page

This section provides a user-friendly interface to edit email content, subject lines, schedules, and activation status, ensuring that communications are tailored to the event’s needs.

Key Components of the Email Edit Page

  • Status Toggle: Enables or disables the email notification.

  • Email Structure: Selects a predefined template for consistent design.

  • Email Preconditions & Schedule: Defines the conditions and timing for sending, like immediately upon invitation.

Editing Options Include:

  • Email Title (Required): Set an internal title.

  • Email Subject (Required): Assign recipient subject line.

  • Email Copy (Required): Customize the message using the content editor box.

Best Practices for Using Updates & Reminders

  • Personalize Content: Customize messages to make them relevant and engaging for recipients, ensuring attendees receive value from each reminder.

  • Schedule Appropriately: Set reminders to be sent at optimal times, avoiding excessive notifications that could overwhelm participants.

Insert Placeholder Text

  • From the chosen category, select the placeholder you want to insert (e.g., {{events.start_date}} for the event’s start date).

  • The placeholder will automatically be added to the email body at your cursor's position.

A Live Preview shows updates in real time, and Save applies changes.

After editing, click Save in the top-right corner to apply changes. If you wish to discard edits, click Cancel.

SMS Structure and Edit Page

This section provides a user-friendly interface to edit SMS content ensuring that communications are tailored to the event’s needs.

Key Components of the SMS Edit Page

  • Status Toggle: Enables or disables the SMS notification.

  • Message Copy (Required): Customize the message using the content editor box.

A Live Preview shows updates in real time, and Save applies changes.

After editing, click Save in the top-right corner to apply changes. If you wish to discard edits, click Cancel.

Locating Preconfigured Emails and Notifications in the Event Page

Once email and SMS templates are configured in the Updates & Reminders section, they are automatically made available in the Event Dashboard under Email Templates. This makes it easy for admins to locate and apply pre-configured content templates for consistent event communication.

Important Note

For a template to appear in the event dashboard, its creation date must be earlier than the event creation date. New templates or modifications made after an event is created may not be reflected in that event. This ensures that templates are stable and consistent for events that are already live or set up.
