The Organizer App's scanning feature streamlines session check-ins by allowing organizers to verify attendee presence using QR codes quickly. With real-time capacity updates and easy access from multiple pages, it's an efficient tool for managing attendance and reducing entry delays.
Scanning Attendees
Organizers can scan attendees into sessions to quickly verify their attendance and update their status. Scanning can be accessed from both the Home Page and the Experience Page for easy attendee check-in.
Accessing the QR Scanner
Organizers can launch the QR scanner from two main locations:
Home Page: Tap the scan icon to access the scanner quickly.
Experience Page: Tap the scan icon from within a specific session to begin attendee check-ins.
Important Note:
QR scanning functionality is accessible from multiple key areas within the Organizer App for ease of use:
Home Page – for quick access to scanning at any point during the event.
Session Page – to scan attendees directly into specific sessions.
Venue Page – for scanning attendees upon entry to designated venues.
Scanning
The QR scanner allows organizers to scan attendee QR codes to check them into sessions while viewing real-time session capacity. Organizers can see the total capacity, current check-ins, and available seats.
Check-ins Per Badge count reflects only attendees who have checked in and does not decrease unless they are checked out.
Interpret the Scan Result
After scanning, the screen will update based on the attendee's session status:
Check-In Scenarios
Success (Green): Attendee successfully checked in.
Error (Already Checked In): The attendee was previously checked in.
Check-Out Scenarios
Success (Green): Attendee successfully checked out.
Error (Already Checked Out): The attendee was previously checked out or is not currently in session.
Session Conflicts
If the attendee is checked into another session, the system will notify the user and allow them to override or keep the current check-in.
Flag Attendee
The Flag Attendee feature helps organizers track individuals who require extra attention or who may need follow-up based on certain behaviors, issues, or violations. This system provides real-time visibility while maintaining audit trails.
Organizers can view the reason an attendee was flagged before deciding to remove the flag. They can clear flags directly from the attendee’s card during session check-in.
Tap “Flag Attendee”
On the attendee’s profile screen, tap the “⋮” (More Options) menu.
Select “Flag Attendee” from the dropdown.
Organizers can view flagged attendees during session check-in. Flags are categorized as Warning or Critical. A yellow alert indicates a warning flag, while a red alert signals a critical situation.
