Adding A Vehicle for Your Event

This guide will walk you through the steps to add a new vehicle to your event and configure your transportation details seamlessly.

Important Note:

Configuring a new vehicle properly requires that a driver is assigned with the correct details.

Accessing the Session Tab

  1. Log in to your account and navigate to the event.

  2. Find the Transportation tab on the left sidebar.

  3. Click on it to expand the menu.

  4. Select Vehicle from the expanded menu.

  1. If no vehicle types have been created, click Create Type to add a new one.

  2. In the Name field, enter a descriptive name for the vehicle type.

  3. Click Save to create the new vehicle type.

  4. Then click the Vehicle Type you created to add a new vehicles to this type.

Adding New Vehicle

From the vehicle type, click on the "Add Vehicle" button in the top right corner to start configuring your new vehicles' details.

  • This will open a form or modal for adding vehicle details.

Fill Out Vehicle Information

  • Upload Image (Optional): Drag and drop images or click Upload to browse and attach the vehicle's image that will appear on the dashboard and apps.

  • Name (Required): Enter a unique and descriptive name for the vehicle.

  • Brand (Optional): Specify the brand of the vehicle.

  • Model (Optional): Enter the vehicle's model.

  • Plate Number (Required): Fill in the vehicle's plate number.

  • Vehicle Color (Optional): Use the dropdown menu to select the color of the vehicle.

  • Vehicle Type (Required): Choose the appropriate vehicle type from the dropdown menu.

  • Ownership (Optional): Provide details regarding the ownership.

  • Status: Ensure the status toggle is set to Active to make the vehicle available for use.

  • Car Capacity (Required): Add the vehicle capacity number.

Set Availability

  • Calendar: Use the calendar on the right to mark the vehicle's availability dates. If necessary, navigate through the months.

  • Events: If the vehicle is assigned to specific events, select the event from the dropdown menu in the "Events" section. To make changes, first remove the previous selection.

After completing all required fields, click the Create button in the top-right corner to save the new vehicle.

If you wish to exit without saving, click the Cancel button.

Bulk Actions

Import Vehicles

You can add multiple vehicles at once by importing an Excel sheet containing the required data.

From the Vehicles page, click on the "Import" button in the the top right corner.

A window will pop up.

Drag and drop your data file (Excel sheet) or download a template using the Download Template File button to help structure your data.

After uploading the file, you will be redirected to the Vehicles Bulk Adding page, where you can review and edit the imported data before saving.

Ensure the data is correctly mapped, then click the Save & Import button at the top right corner.

Export Vehicles

You can add export a list with all the already added vehicles.

From the Vehicles page, click on the "Export" button in the the top right corner.

A window will pop up.

Then, the file will be loaded, and the vehicles will be exported.

Edit Vehicles

For editing the details for existing vehicles click on the Pencil icon next to a vehicles' name to modify their details directly.

Delete Vehicles

For deleting an existing vehicle use the following steps:

  1. Click on the Pencil icon next to a vehicles' name to access the drivers details page.

  2. From the top right corner click on the three-dots icon.

  3. Choose Delete.

  4. Then confirm your choice.

These steps ensure the vehicles are created and available for your event.


Troubleshooting Steps for Adding a New Vehicle

1. Image Upload Fails

  • Issue: Unable to upload image in the "Vehicle image" section.

    • Solution:

      • Ensure the format is supported (e.g., image files like .jpg or .png).

      • Verify the file size is within the allowed limit.

      • Check your internet connection for stability.

      • Use the manual "Upload" option if drag-and-drop is not working.

2. Create Button Disabled

  • Issue: The Create button remains grayed out.

    • Solution:

      • Check that all mandatory fields (*) are completed.

      • Ensure a vehicle type is selected from the dropdown menu.

      • Confirm the plate number is filled and does not contain invalid characters.

      • If the problem persists, re-enter information or clear the browser cache.

3. Unable to find Vehicle Type

  • Issue: Unable to find a vehicle in the drop-down list of the vehicle type

    • Solution:

      • New vehicle type needs to be added

      • Click to expand the transportation tab, then click on the vehicles tab,

      • Name: Enter a name for the vehicle type in the "Name" field. This is a mandatory field (*) and should be descriptive (e.g., "Sedan," "Minibus").

      • Click Save to create the new vehicle type or Cancel to exit without saving.
