The Updates Module in the Organizer App allows event teams to instantly communicate key information to attendees, organizer, or specific groups. Whether it's a session change, urgent alert, or reminder, updates ensure smooth coordination throughout the event.
How to Find the Updates Section
From the Home Page, scroll down to the Management section.
Tap on the tile labeled Updates (accompanied by a bell icon and count badge).
What You Can Do from There:
View the full list of updates (sent, scheduled, or drafted)
Tap into any update to view its details
Create a new update using the “+” button on the screen
Update Details view
Header
Title: Shows the update’s subject (e.g., "Event Kickoff").
Body: Displays the content of the message being sent to attendees.
Scheduling Information
Status: Indicates the current state of the update (e.g., Scheduled).
Timezone: Displays the set timezone for the update to be delivered (e.g., GMT -05:00 Eastern).
Date & Time: Shows the exact scheduled time for the update to be pushed.

Send as: Indicates how the update will be delivered to recipients:

This workflow helps organizers communicate with attendees via app notifications, SMS, or email. You can send updates instantly, schedule them, or save them as drafts.
1. Choose When to Send the Update
Tap the dropdown under “When”
Options:
Now: Sends the update immediately
Schedule: Choose a future date/time
Draft: Save the update without sending
2. Select Channels
Choose how the update will be delivered:
App Notification
SMS
Broadcast
Email
You can select one or multiple channels based on your communication preferences.
3. Write the Update
Enter a Title and a Message Body
(Optional) Add an Attachment such as a PDF, image, or document
4. Choose Recipients
You can send the update to:
Individual Attendees
Specific Groups
Defined Tags
Selected Experiences
Use filters to target exactly who should receive the message.
5. Apply & Review
After selecting your recipients, tap Next.
Review the update content, delivery method, and scheduled timing.
6. Finalize the Update
The final action button will adapt based on your selection in the “When” step:
If Now is selected → tap Send to publish the update immediately.
If Schedule is selected → tap Schedule to confirm future delivery.
If Draft is selected → tap Save as Draft to finalize and send later.
Updates Different Access Levels
Limited Access View
Submitter View (Limited Access / Submission Role)
After creating the update, the user taps “Submit for Approval.”
The Update Details screen displays a Pending Approval status.
A corresponding notification shows the update was submitted and is awaiting approval from authorized organizer.
Full Access View
Full Access Staff – Approves Update
Staff with full permissions receives a Pending Approval notification.
On the Update Details screen, they can tap Approve or Reject.
Once approved, the update status changes from Pending Approval to Published.
The delivery methods and attachments remain visible after approval.
Full Access Staff – Rejects Update
The staff member receives the same Pending Approval notification.
On the Update Details screen, they tap Reject and enter a Reject Reason (e.g., "Can you edit the title copy please.").
The update status then changes to Update Rejected and the reject reason is clearly displayed for the submitter.
No Access View
Organizers with no access permissions to the Updates module will not see the feature anywhere in the app interface.
What It Looks Like:
The Updates tile is hidden from the Management section on the Home Page.
The “Create Update” option is also removed from the Quick Actions menu.
All update-related functionalities are completely disabled and invisible to these users.
This restriction can be managed from the management dashboard by toggling on and off organizer roles on update level. check out this section for more details.
