RSVP Configuration allows event organizers to control how attendees reserve access to sessions during the event. From this section, you can define RSVP timing, assign categories, manage session capacity, enable waitlisting, and control whether RSVPed attendees are visible, helping you organize session access more efficiently.
Accessing RSVP Configuration
Log in to your account and navigate to the event.
Find the Event Config tab on the left sidebar.
Click on it to expand the menu.
Select Access Config from the expanded menu.
You will be redirected to the Access Configuration page.
From there, click on + New Feature in the upper right corner to create a new RSVP feature.
Creating RSVP Feature Type
If RSVP is selected as the Feature Type, additional RSVP settings will appear on the page.
The RSVP feature type includes the following details:
Title (Required): Add a clear title for the RSVP feature.
Feature Type (Required): Select RSVP from the dropdown menu.
Start Date: Select the date when the RSVP feature should start.
1 Day Earlier: Enable this option if needed to allow attendees to RSVP to sessions 1 day earlier.
Select Category(ies): Choose the categories that will be linked to this RSVP feature.
Capacity Per Session (Required): Enter the allowed capacity for each session.
Enable Waitlist: Turn this option on to allow waitlisting for RSVP sessions.
Show RSVPed Attendees: Turn this option on to display RSVPed attendees.
Note (Optional): Add any additional notes if needed.
Once all required fields are completed, click Save in the upper right corner to create the feature.
Once the RSVP feature is created, it will appear in the Access Configuration page as part of the available access list.
From there, you can use the toggle next to the feature to turn it on or off depending on whether you want to activate this access for your event.
How to Assign the RSVP Access to Your Badges
Once the RSVP feature is created, it can be assigned to specific badge types.
To do this, navigate to Badges from the left sidebar and select Badge Types.
Open the badge you want to configure, then click on the Access tab.
From the list of available features, turn on the toggle next to the RSVP feature you want to assign to that badge.
Once done, click Save & Continue to apply your changes.
Note: Enabling the Advanced RSVP access for a badge type means that any attendee assigned to this badge will be able to RSVP to the categories linked to that access feature.
Badge Access Settings for RSVP Features
Once the RSVP access is enabled for a badge type, clicking on the feature gives you more control over how that access is applied to the selected badge.
The RSVP badge access settings include the following details:
Feature Toggle: Turn the RSVP feature on or off for this badge type.
Priority (Required): Select the priority level for this RSVP access.
Availability (Required): Choose when this RSVP access should be available, such as All Event Days.
Category(ies) (Required): Displays the categories linked to this RSVP feature for the selected badge.
Edit: Click Edit to update the categories assigned to this RSVP access.
Pass Holder Limit per Day (Required): Enter the maximum number of sessions a badge holder can RSVP to per day.
Set Unlimited: Turn this option on to allow badge holders assigned to this access to RSVP to sessions without a per-day limit.
Clear All: Removes all selected access features from this badge type.
Once done, click Save & Continue to apply your changes.
Viewing Attendee RSVP Status on Specific Sessions
To view the RSVP status for attendees on a specific session, navigate to Planning from the left sidebar and select Sessions.
From the sessions list, open the session you want to review.
3. Now click on click the Attendee List tab to view the list of attendees with the following details:
Attendee Name: Displays the name of each attendee assigned to the session.
Badge Type: Shows the badge type assigned to the attendee.
RSVP Status: Displays the attendee’s RSVP status for the session, such as RSVPed or Waitlisted.
RSVP Date: Shows the date when the RSVP was made.
Check in Status: Displays the attendee’s check-in status for the session, such as Checked in or Pending.
Check in Date: Shows the date when the attendee was checked in.
Review: Displays whether a review or feedback item is available for that attendee.
App Visibility: Shows whether the attendee is visible in the app.
You can also use the below features to narrow down your list to specific criteria:
Filter: Click Filter to narrow down the attendee list based on specific criteria.
Search: Use the search bar to quickly find a specific attendee.
This view helps organizers monitor session attendance and quickly track which attendees have RSVPed, been waitlisted, or checked in.
With RSVP Configuration, you can manage session access from setup to attendee tracking in one structured flow. This helps ensure a smoother RSVP experience for both organizers and attendees throughout the event.
