Assign Dedicated Vehicles to Your Event

Managing transportation is essential for seamless event logistics. This guide walks you through accessing your event workspace, navigating to the dedicated vehicle settings, and assigning vehicles to attendees. With step-by-step instructions and tips, you'll ensure accurate configurations and smooth operations for your event's transportation needs.

Accessing the Dedicated Vehicle Tab

Expand the Transposition Menu

  • Locate the Journeys section in the sidebar.

  • Click the arrow next to "Transportation" to expand the menu.

Open Journeys Tab

  • Explore from the expanded "Transportation" menu to access the Dedicated Vehicle tab.

  • You will be in the Journeys tab, where you can click to expand and start configuring your new Dedicated Vehicle details.

Steps to Configure a Dedicated Vehicle

1. Select an Attendee

  • Locate the Select Attendee field at the top of the form.

  • Type the name of the attendee or select from the dropdown list.

  • Ensure the correct attendee is chosen for the vehicle assignment.

2. Set the Start and End Dates

  • Date: Click on the calendar icon in the Start Date field and choose the date when the vehicle assignment begins.

  • End Date: Similarly, select the date when the vehicle assignment ends in the End Date field.

  • Verify that the date range aligns with the attendee's needs.

3. Select a Vehicle

  • Use the Select Vehicle dropdown to choose the appropriate vehicle for the attendee.

  • Ensure the vehicle has been assigned correctly and is available during the specified date range.

4. Assign a Driver

  • From the Driver dropdown, select the driver responsible for operating the assigned vehicle.

  • Verify that the selected driver is associated with the chosen vehicle and is available.

5. Enable or Disable the Ride Flex Switch

  • Toggle the Ride Flex Switch to enable or disable the flexibility for the attendee to request additional rides.

    • Enabled: Allows the attendee to request rides within the assigned time frame.

    • Disabled: Restricts the attendee from making additional ride requests.

6. Review Your Configuration

  • Double-check all the fields:

    • Attendee name

    • Start and end dates

    • Selected vehicle

    • Assigned driver

  • Ensure accuracy to avoid scheduling conflicts.

7. Save the Configuration

  • Click the Create button at the top right of the form to save your configuration.

  • If you need to cancel or reset, click the Cancel button.

Important Note

To ensure you add a dedicated vehicle to a specific attendee of an event, you need to ensure that this attendee is already added to the attendee's list. Also, vehicle and driver details are correctly configured for the event.

As you have already configured your driver details, ensure your vehicle details are correctly added and that you are set up to request your next journey.
