Manage Convoys

This is a step-by-step guide to managing convoys, which are groups of vehicles traveling together at the same time to the same destination.

Accessing the Convoys Tab

  1. Log in to your account and navigate to the event.

  2. Find the Transportation tab on the left sidebar.

  3. Click on it to expand the menu.

  4. Select Convoys from the expanded menu.

In the top right corner click on +Add Convoy to start adding new convoys.

Convoy Details

  • Convoy Name (Required): Write a name for your convoy.

  • Date (Required): Click on the calendar to select the start and end date for the convoy availability.

  • Attendees (Required): Choose the attendees from the dropdown menu.

Then click Next in the top right corner.

Important Notes:

  • Attendees must be added to your event before assigning them to a convoy.

  • Before adding convoys, you must first add vehicles to your event.

Vehicle Assigning

To assign vehicles, ensure they are available on the selected date and have a driver assigned.

  1. In the attendee list, select a vehicle from the drop-down menu next to each attendee.

  2. Vehicles will remain available until they reach full capacity, after which they will automatically become unavailable.

You can remove the attendee from the convoy by clicking on the three-dots icon next to the attendee you want to remove.

Once all attendees are assigned to vehicles, click Save. The convoy will be created, and you can start adding rides.

Adding a Ride to a Convoy

  1. Click on +Ride within a convoy to define a trip for the assigned attendees.

  2. Enter the Ride Details:

    • Ride Name (Required)

    • Pickup Time (Required)

    • Drop-off Time (Required)

    • Status (Required)

  3. Pickup Location

    • Type (Required)

    • Choose Location (Required)

If selecting pickup or drop-off locations from the map, confirm the location before proceeding.

Once done click Save from the upper right corner. A success message will appear, and the ride will be created.
